JOB DESCRIPTION

On/Off-boarding Process Control

  • Lead and manage a growing team responsible for managing the employee experience throughout the employee lifecycle (onboarding, career changes and offboarding); and
  • Profile filling: review employee’s profiles and collect all missing documents (if any).

C&B & Information System

  • Liaise with vendor about the employee’s personal income tax (increase/decrease dependents, update personal information to the tax department, etc. .) ;
  • Provide income confirmation documents to staff as required;
  • Liaise with vendor to prepare SHUI report as well as perform the necessary reconciliation and revision arising from the changes in salary/ title for employees, new hires, termination…;Attend the process of Social Insurance claims in case of sick leave or maternity leave; and
  • Reconcile the payable amount of SHUI with the SI Department.
  • Monitor HRMS (HiBob) to ensure it runs effectively.
  • Be in charge of HR Intranet (Confluence, HiBob, Slack…). Ensure current benefit policies, guidelines and processes are fully updated in the e-HR Center;
  • Liaise with other leaders to clean up data, update the org chart as well as provide missing data and prepare for the Succession Plan.

 Policy/Procedure & Governance Benefit Implementation

  • Understanding and implementing all policies in the Employee Handbook/Internal Regulations/Code of Conduct;
  • Update HR Team to new regulations, articles and decrees relating to HR matters/Labor Code;
  • Maintain and develop consistent HR process documentation and ensure appropriate utilization;
  • Ensuring procedures are followed in a timely and efficient manner. This will involve liaising with the relevant HRBP team and hiring managers to ensure the smooth running of recruitment campaigns, issuing offers of employment and processing contracts and ensuring that eligibility to work information is checked;
  • Responsible for employee’s due diligence check to ensure it complies with the Group’s policy; and
  • Ensure employees read and sign all company documents and policies;
  • Provide counseling on internal policies & procedures.

Reporting & General Responsibilities

  • Insurance Management: responsible for consulting & analyzing the new program at the beginning of the year; effectively update the news or changes of this program with staff; provide year-end analyst report;
  • Annual health check-up project management;
  • Prepare monthly, 6 months, annual reports for Government.
  • Prepare and generate reports for HR monthly (eg. CEO report, , Diversity reports,…);
  • Partner closely with the HRBP team to ensure their client groups are receiving the support they need and process changes are effectively communicated;
  • Work with relevant partners in managing staff’s benefits (laptop award, referral program, etc.);
  • Support the Company’s staff engagement activities: Company Trip, Internal Competition,….
  • Support expatriates’ visa/work permit/TRC to relocate to Vietnam.
  • Cross-team responsibilities may arise from time to time.
  • Assist Head of HR on other tasks as required.

JOB REQUIREMENTS

  • Hand-on experience in how to run and manage similar comprehensive HR.
  • Detailed knowledge of the Vietnam Labor Code and relevant regulations.
  • Quickly adapt to modern systems.
  • Demonstrated high-level organizational skills.
  • Ability to work to tight deadlines and excellent time management skills.
  • Professional computer skills, excel and related software.
  • Have a sense of responsibility, independent skills and teamwork.
  • Ability to handle confidential information.
  • Integrity & strong personal judgement.
